Supplier Negotiation Email Templates for Amazon Sellers
Copy-ready emails for every stage of a supplier negotiation — from the first request for quotation to payment terms — with tips for getting a better price without burning the relationship.
Four short, polite emails cover most of a supplier negotiation. Replace everything in [brackets]. Keep your walk-away price to yourself, and never invent a competing quote — experienced suppliers can tell, and it damages trust.
1. Opening request for quotation (RFQ)
Subject: Request for quotation – [product] – [target quantity] pcs Hello [Supplier name], We are an online retailer selling on Amazon [marketplace]. We are interested in your [product / model number]. Could you please share: 1. Unit price for [300] / [500] / [1,000] pcs 2. MOQ and production lead time 3. Sample cost and sample shipping time to [country] 4. Incoterms (FOB / EXW / DDP) and payment terms 5. Options for custom logo and retail packaging 6. Certifications available (e.g. CE, FCC, FDA, CPC – as relevant) Thank you, and I look forward to your reply. [Your name] [Company] [Email]
2. Counter-offer when the price is too high
Subject: Re: Quotation for [product] Hello [Supplier name], Thank you for the quotation of [price] per unit at [MOQ] pcs. We would like to work with you, but this price is above our target for this product. For an order of [quantity] pcs, could you offer [target price] per unit? If that is difficult, we are also open to: – a higher quantity tier, or – simpler packaging, or – a longer lead time, if it helps you reach a better price. Best regards, [Your name]
3. Sample request
Subject: Sample order – [product] Hello [Supplier name], Before placing a production order, we would like to order [1–3] samples of [product / model], including our requested [logo / colour / packaging] if possible. Please confirm: 1. Sample price and shipping cost to [address / country] 2. Whether the sample cost can be refunded against the first bulk order 3. Production time for samples Best regards, [Your name]
4. Closing: payment terms, lead time and quality
Subject: Re: Order terms for [product] Hello [Supplier name], Thank you for the updated offer. Price-wise we are close. To move forward this month, could we agree on: – Payment: 30% deposit, 70% after a pre-shipment inspection (or Alibaba Trade Assurance) – Lead time: [X] days from deposit – Packaging: [requirements, labels, FNSKU] – Defect policy: replacement or refund for units that fail inspection If you can confirm these terms, we are ready to send the purchase order. Best regards, [Your name]
Negotiation tips that actually work
Ask for price tiers first. Knowing the price at 300, 500 and 1,000 units shows you where the supplier's margin is and gives you a natural reason to negotiate.
Trade, don't just ask. Offer something in return for a lower price: a bigger order, a longer lead time, simpler packaging or faster payment.
Negotiate terms, not only price. A 30/70 payment split with a pre-shipment inspection often protects you more than a few cents off the unit price.
Use real quotes only. If another supplier quoted lower, you can say so without naming them. Never make one up.
Confirm everything in writing before sending a deposit: price, quantity, packaging, labels, lead time, defect policy and Incoterm.
Frequently asked questions
How do I negotiate price with an Alibaba supplier?
Ask for price tiers first, then make a specific counter-offer for a specific quantity, and offer something in return such as a larger order, simpler packaging or a longer lead time.
What should an RFQ to a supplier include?
The product or model, target quantities, a request for price tiers, MOQ, lead time, sample cost, Incoterms, payment terms, packaging and logo options, and the certifications you need.
What payment terms are safe for a first order?
Many importers use a 30% deposit and 70% after a pre-shipment inspection, or pay through a platform protection programme such as Alibaba Trade Assurance.
Should I tell the supplier my maximum price?
No. Share a target price, but keep your walk-away price private so you still have room to negotiate.
